    We are looking for an OUTSTANDING ADMIN/REGISTRAR professional who will be supporting the camp registration process for our Summer Overnight Camps (Camp Orkila & Camp Colman) and Wilderness Expedition programs (BOLD & GOLD). This job is seasonal with the possibility to be convereted as FTE in the Fall.

    You’ll be based out of our Camping & Outdoor Leadership office which shares the building with our Downtown Seattle YMCA health & wellness facility (access is a staff benefit - swim a few laps before work, take a yoga class, do some laps on the track before you go home if you like!).

    What you’ll be doing…


    In this role, you will provide office, administrative and customer service support to our Summer Overnight Camps (Camp Orkila & Camp Colman) and Wilderness Expedition programs (BOLD & GOLD).

    The days spent in the office are generally divided between phone support and extensive data entry on our more than 6,000 summer participants! 

    In a typical day you may find yourself doing any number of the following duties:

    • Reviewing the health and safety information for each participant and entering it into our database.
    • Answering phone calls and responding to parent inquiries.
    • Following up with parents regarding missing information. 
    • Preparing pre-session mailings.
    • Organizing and auditing participant files to send to camp with each new group of campers
    • Cataloging lost and found
    • and providing general support as needed for our office.

    Schedule information

    During the months of July and August, office team members also assist with checking campers in at our bus locations in Shoreline, SeaTac and South Lake Union. These check-ins fall on Tuesdays, Saturdays and Sundays (depending on the sessions running) and are generally all hands on deck. The remainder of your 40 work hours will be worked within the normal Monday - Friday business hours (8am- 5pm).


    Due to the volume of campers we serve, this position requires a high degree of organization and attention to detail in a fast-paced environment. Priorities can shift on a daily basis depending on schedules, so flexibility and punctuality are essential, and a positive attitude is key. You will be a vital part of our summer operations!


    Who are you?

Detail and accuracy are important to you. You are always stepping up to offer support at the first sign it's needed. You are comfortable using Microsoft Office Suite, specifically Outlook, Word and Excel, and are eager to learn new tips and tricks to improve your skills, and have an interest in and aptitude for learning new programs. You're equally at ease answering phone calls and emails as you are managing projects and data.


    You should have:

    • Strong communication skills (written and verbal) for confidently interacting with camper families via phone and email
    • Strong time management, attention to detail, and organizational skills
    • Ability to work independently, as well as a part of a team

    1. Two years of college or equivalent.
    2. Two years of related office experience.
    3. Excellent office skills, including keyboarding.
    4. Experience and knowledge of various software applications.
    5. Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Ability to speak any language in addition to English may be helpful.
