Where you'll work…

Our office is in the heart of Downtown Seattle, in a historic building that has housed the YMCA since the 1930s.  Not only does our building house our Association Office (corporate headquarters), but it's also home to some of our unique social service programs AND a membership facility (access is a staff benefit - swim a few laps before work, take a yoga class at lunch, do some laps on the track before you go home, if you like!).

Responsibilities

What you’ll be doing…

The YMCA of Greater Seattle is seeking a reliable and professional Accounts Payable Clerk. You will be helping with the maintenance of Accounts Payable information, including current vendor accounts. While also preforming invoice functions as directed by and alongside the Staff Accountant, AP. You will help ensure the Y is fiscally compliant with all vendor and external participant payments

If you're the right candidate for the job you are orginized and detail oriented. You are always stepping up to offer support at the first sign it's needed.  You're equally at home answering phone calls and emails from vendor's and employees, as you are managing projects and deadlines. 

 

 

PRINCIPAL ACTIVITIES:

  1. Maintain vendor files, payments, and documentation thoroughly and accurately in accordance with YMCA company policy and accepted accounting principles.
  2. Receive and sort mail for the AP team both postal, branch courier, and electronic. Sort invoices by payment terms.
  3. Review and analyze all invoices, expense reports, purchase card data and check requests for proper approval, cost center, and general ledger account line account coding.
  4. Enter and scan invoices and check requests into the accounting software system, in batches. Stage batches for secondary review.
  5. Assist Staff Accountant, AP with weekly check run and generation of checks and EFT’s.
  6. Distribute and mail checks weekly, matching proper remittance.
  7. Assist with audit and entry of all employee expense reports to the accounting software.
  8. Work with and respond to vendor inquiries, including resolution of past due notices. Reconcile vendor monthly statements, research and resolve discrepancies.
  9. Support YMCA staff members with purchase card questions. Assist Staff Accountant, AP with audit and review of the purchase card data each month.
  10. Serve as full back up to the Staff Accountant, AP.
  11. Assist with month end and year end closings.
  12. Assist with external financial and agency audits.
  13. Other duties as assigned.

Qualifications

You should have:

  • High school diploma or equivalent. Associate’s degree preferred.
  • Two or more years of accounts payable experience
  • Must have strong attention to detail and accuracy.
  • Superior customer service and interpersonal skills, responding to employee, management and vendors via phone, e-mail or in person.
  • Strong problem solving skills
  • Strong written and verbal communication skills.
  • Ability to manage and prioritize work flow, multiple projects and deadlines.
  • Knowledge of standard office equipment such as fax machines, copiers and phone systems.
  • Excellent Computer skills and experience in Excel, Word, SharePoint, and accounting software systems.
