The Y listens and responds to our region's most critical social needs through family counseling, crisis response, and therapeutic foster care in neighborhoods. Responsibilities

What you’ll be doing…

 

You will:

  • Perform various duties including reception, scheduling appointments, and assisting with intake documents.
  • Maintain database information, process paperwork, produce reports and maintain related directories and files.
  • Provide administrative support to program and department staff and stay current with program changes.
  • Perform data entry, which may include receipting, program registration data, membership data, and campaign information.
  • Maintain exceptional rapport with clients, managers, and employees. 
  • Prepare outgoing mail, and distributes incoming mail.
  • Help manage office and program supplies, placing orders, and maintaining inventories.
  • Perform various bookkeeping duties, including coding bills and processing payments.
  • Assist with new staff orientation, HR functions and paperwork. 
  • Communicate with State and Risk Management department regarding clearances.
  • Checks insurance eligibility, when applicable.
  • May train, coordinate, and/or schedule the activities of volunteers and/or staff.

 

Who are you?

If you're the right candidate for the job you thrive on challenging assignments, pride yourself on efficiently managing a high volume of work without quality suffering.  Detail and accuracy are important to you.  You are always stepping up to offer support at the first sign it's needed.  You are comfortable using Outlook, Word, and Excel, and are eager to learn new tips and tricks to improve your skills, and have an interest in and aptitude for learning new programs.  You have experience or training in a medical office and have familiarity with medical record databases. You're equally at home answering phone calls, scheduling client appointments, and emails as you are managing projects and data. 

Qualifications

You should have:

  • High school education or equivalent. Two years or more of college in a related field preferred
  • 1-2 years’ experience in an administrative support role
  • Strong time management, attention to detail, and organizational skills
  • Intermediate knowledge of/experience with Microsoft Office Suite
  • General office knowledge - copier, phone systems, etc.
  • Strong keyboarding skills (aka touch-typing)
  • If you have other computer database and system experience, all the better - but don't let a lack of experience in those hold you back from applying!
